Enabling the HighMatch Connector for Lever

This integration deployment guide will help you quickly and seamlessly connect Lever with HighMatch. 

Summary of the Integration Flow

  • The integration looks for candidates who have been moved to the pipeline stage that you created for assessments. The candidate information is extracted and sent to HighMatch and the integration will send the invitation link to the candidate to complete the assessment.
  • HighMatch will update an assessment’s tags on the candidate’s profile if the invitation was successfully sent as well as when the assessment has been completed.
  • When the candidate has completed the assessment, HighMatch will post the assessment report’s URL to the Notes tab on the candidate’s profile.
  • If the assessment fails to send, HighMatch will update the assessment’s tags with Assessment=Error. If you are not able to determine the cause of the error, it is recommended that you log a support ticket with Lever and HighMatch’s Support Team. 

Summary of Steps

There are 10 steps to enable the integration before you can request and receive back candidate assessment results from within Lever live in production. To begin you will need to authorize HighMatch access by first reaching out to the HighMatch Success Team at support@highmatch.com.

Step 1: Authorize HighMatch to Access Lever

After you have authorized HighMatch access to your Lever account in Step 1, you will complete Steps 2-6 in Lever on your own:

Step 3: Create or Identify a Test Job

Step 4: Specify the Stage for HighMatch assessments in your Hiring Pipeline

Step 5: Create or Identify a User for the Integration

Step 6:  Configure the Webhook

When you have completed Steps 1-6, it is now time to schedule a meeting with your HighMatch Success Manager. Please review Step 7 before sending your email as you will need to include important information in your email. During the meeting, we will help guide you through Steps 8-10:

Process Details

Step 1: Authorize HighMatch to Access Lever

To begin the integration enabling process with Lever, you will need to authorize HighMatch to be able to access your Lever account. First, reach out to the HighMatch Success Team at support@highmatch.com. In this email, let them know that you wish to start using the HighMatch integration for Lever and you will require the OAuth initiation URL and Webhook Notification URL. 

HighMatch will work on enabling the webhook once your email is received. Once ready, HighMatch will reach back out to you via email and provide you with the OAuth initiation URL and Webhook Notification URL. Once you have the OAuth initiation URL

  1. Make sure you are logged into Lever or log into your Lever account as you normally would.
  2. Open a new tab in your browser and paste the OAuth initiation URL provided to you by HighMatch.
  3. In the new tab, Lever will display a summary of the access that HighMatch will have within your account.
    • It is important to note that HighMatch partners with the company Joynd who help with the functionality for this integration. The language used in this summary of the access will indicate that you are authorizing “Joynd” to access your Lever account. Rest assured that this is meant to occur and is safe to do so. 
  4. Review the details and click Accept if you are happy to proceed with the integration.
  5. You have now authorized your account with HighMatch.

Step 2: Create a Test Candidate

Create a test candidate (or identify an existing candidate) in Lever that you can use in Steps 9-10. You will need to add an email address that you have access to and should indicate clearly that this is a test record. You may choose to delete the record after you have completed testing.

Step 3: Create or Identify a Test Job

Create a test job (or identify an existing job that can be used) in Lever that you can use in Step 4 and Step 8. You may choose to delete the record after you have completed testing.

Step 4: Specify the Stage for HighMatch assessments in your Hiring Pipeline

To use the integration, you will need to add a HighMatch stage to your pipeline. Anytime a candidate is moved into this stage, an assessment order will be triggered and an assessment invitation will be sent to the candidate.

This stage will be used in Step 9. If you already have a stage to use for triggering the assessment request, you can skip to Step 5.

To add an assessment stage: 

  1. Go to Settings > Pipeline and archive reasons.
  2. Click Customize Pipeline Stages.
  1. Click the + ADD STAGE button.
  2. In the popup, enter a name for the stage (e.g. ‘Assessment’ or similar), select the settings you want on the stage, and click ADD STAGE.
  3. Click the Next button until you complete the process of adding the stage.
  4. Once the new stage is added, go to the new stage in the Pipeline and archive reasons menu.
  5. Click reveal stage ID.  Click the copy icon (to the right of the ID) and save this ID in your documents to provide later to HighMatch in Step 7.

Step 5: Create or Identify a User for the Integration

When an assignment status is updated, this update will be reflected in the candidate’s tags. 

This integration requires a Lever user to be specified for adding tags and notes (for the assessment report URL).

If you wish, you may also use an existing user (if so, you may skip the To Create a New User steps below).

To Create a New User:

  1. Go to Settings > Users.
  2. Click + Add New User and enter a full name and email address.
  3. Click the Next Step button until you complete the process for creating a new user.

Once a New User is Created or an Existing User is Selected:

  1. Go to Settings > Users and click the user for your integration. 
  2. Once in the user’s menu, copy the web page’s full URL. 
  3. Save this ID in your documents to provide later to HighMatch in Step 7.

Step 6: Configure the Webhook

For HighMatch to know when there is an assessment request from Lever, you will need to enable the Lever webhook. First:

  1. Copy the Signature Token and save this token in your documents to provide later to HighMatch in Step 7.
  2. Go to Settings > Integrations and API > Webhooks.
  3. Enable Candidate Stage Change.
  4. In the field that says “https://yoursite.com”, enter the Webhook Notification URL provided by HighMatch in Step 1.
  5. Select the appropriate Triggers for candidates of the selection origins that are relevant for the HighMatch assessments.

Now your setup is complete and it is now time to schedule a meeting with your HighMatch Success Manager. Please review Step 7 before sending your email as you will need to include important information in your email. We will help guide you through Steps 8-10 during your meeting.


Step 7: Contacting your HighMatch Success Manager

Please reach out to HighMatch to book a call with your HighMatch Success Manager (at support@highmatch.com). During this meeting, we will discuss the enabling and using processes in Lever.

Note: Please be sure to include the following information in your email:

  1. The stage ID from Step 4
  2. The user’s full web page URL from Step 5
  3. The Signature Token from Step 6.

This information will ensure that HighMatch can properly configure the integration.

Step 8: Add an Assessment to the Test Job

At this point, the integration should be fully enabled. To learn about adding an assessment to a job, follow these steps:

  1. Open the test job you created or identified in Step 3.
  2. HighMatch detects assessments in jobs through a job’s tags. In the Tags field, add a tag and begin typing the name of the assessment you want to connect to this job.
    • Note: Tag Names in Lever must exactly match the name of the assessment as it is listed by HighMatch. A drop-down will appear in the Tag field as you start typing, such that once you have all of your assessments added, you simply have to select from the dropdown.
    • You will need to create a tag for every HighMatch assessment. Tags can include any type of characters including spaces.  
    • We recommend you format the tag as follows: HighMatch=[Assessment’s Name]
  1. Click Save Changes once done.
  1. When you add a candidate to the Job, the candidate’s profile will automatically show the tag with the assessments that you added to the job in the step above.

Step 9: Send an Assessment to the Test Candidate

An assessment order will be triggered and an assessment invitation will be sent to the candidate once a candidate is manually moved to the assessment stage in your hiring pipeline by a recruiter or hiring manager. 

To manually move a candidate to an assessment stage in your hiring pipeline, first:

  1. Select the test candidate from Step 2, and click Add Opportunity
  2. Click Choose Job.
  3. Click Create Opportunity and select the test job.
  4. Change the Candidate Stage to the assessment stage from Step 4.
  1. The candidate will receive an email from HighMatch inviting them to complete the assessment.
  2. The candidate’s assessment status will be displayed on the tag section in the candidate’s profile:
    1. Assessment:Ordered
    2. Assessment:Completed
    3. Assessment:Error
  3. An Error results when the assessment request fails to successfully be sent to the candidate. If you are not able to determine the cause of the error, it is recommended that you log a support ticket with Lever and with HighMatch’s Support Team at support@highmatch.com.

Step 10: Reviewing the Test Candidate Assessment Results

Once the candidate has completed the HighMatch assessment, the tag Assessment:Ordered in the candidate’s profile will be updated with the tag Assessment:Completed.

There will also be a new note added in the Notes tab in the candidate’s profile with a URL link to a detailed HighMatch assessment report. Clicking the link will open the detailed HighMatch assessment report in a new tab.

If the candidate was assigned to more than one job and an assessment was ordered for each, separate links will be displayed upon completion.
